Gmail email triage and filtering with AI prioritization
Build a daily email-triage workflow that helps me reduce inbox noise and focus on important messages. Trigger it on a schedule and review inbox emails received during the previous 24 hours. Fetch the relevant emails from Gmail—or another email provider—then use an AI model to identify likely newsletters, promotional messages, cold outreach, and other solicitations. Keep transactional notifications, security alerts, direct work messages, and emails requiring action in the main review. Stack-rank those remaining emails by priority and include a short explanation for each ranking. Deliver the review through Slack—or my team’s chat tool. Attempt to send it as a direct message, with a designated channel as a fallback. For every recommended solicitation, provide a one-click action that creates or reuses a “Newsletters & Solicitation” label, filters future messages from that exact sender to skip the inbox and receive the label, and archives and labels the reviewed conversation. Do not modify Gmail until I explicitly click the action. Keep action links private and authenticated. Use opaque, expiring action identifiers rather than exposing email addresses in URLs, make repeated clicks safe, and prevent duplicate daily reviews. Document the workflow, test classification with representative sample emails, test delivery only after approval, and leave it ready to publish so the schedule begins running. Tools used: Gmail, Anthropic, Claude, Slack, 3B
What this prompt builds
Daily email triage workflow that uses AI to classify and filter Gmail messages, prioritizing actionable emails while offering one-click archival and labeling of newsletters and solicitations. Delivers a ranked review via Slack each morning with authenticated action links. Helps knowledge workers reach inbox zero faster by automating the manual sorting and labeling of low-priority messages.
The problem
Knowledge workers spend significant time manually sorting, labeling, and archiving emails to maintain inbox zero, often losing focus on high-priority messages buried in newsletters, promotions, and cold outreach. This workflow uses AI to automatically classify Gmail messages each morning, filtering out solicitations and transactional noise while stack-ranking the emails that require attention. It delivers a prioritized review to Slack with one-click actions to label, filter, and archive low-priority senders without touching Gmail until explicitly approved.
Solution and impact
The workflow runs daily, scanning the previous 24 hours of email and using Claude to identify newsletters, promotions, and solicitations while surfacing actionable messages with priority rankings and explanations. Users receive a Slack summary with authenticated, one-click actions to create labels, set up filters, and archive conversations—preventing duplicate processing and keeping action links private. This saves time every morning and helps teams respond faster to important messages by eliminating manual triage work.
